The Arts Barn, a program venue of the Cultural Events & Services Division of the Department of Parks, Recreation & Culture, is seeking a part-time Arts Program Coordinator to coordinate diverse enriching performing and visual art programs, performances, workshops, events and other activities as well as lead arts marketing efforts with Arts Barn staff.

The Arts Program Coordinator performs responsible professional work in planning, organizing, managing and implementing a variety of arts programs with special focus in the areas of film, the City’s 37-year old chorus, family programming, and arts marketing. The majority of arts programming will occur at the historic Arts Barn, located in the Kentlands area of Gaithersburg. The program coordinator may also work with the Kentlands Mansion adjacent to the Arts Barn.

The Arts Program Coordinator works with contracted performing and visual artists to design and present engaging, educational and artistically enriching programs; selects, contracts, and supervises artists; works with City marketing staff to promote programs; supervises volunteers; interacts with a variety of audience attendees including students, families, adults and seniors; and supports other Department and Division initiatives as assigned.

The position requires expertise and experience in arts programming, arts presenting, and arts marketing, as well as outstanding abilities in customer service, contractor supervision, and organization. An arts-related college degree and 3 years similar experience is preferred. You must be highly customer focused, diplomatic, an effective verbal and written communicator, possess advanced computer skills, be able to multi-task and meet deadlines, and work both independently and as part of a dedicated, innovative, and collaborative team.

Approximately 25 hours per week; flexible time; a core work schedule will be established upon hire. Requires evening and weekend availability, based on facility and programming needs. Approximately 55% of time spent on arts programming and 45% spent on arts marketing.

Starting hourly rate will be within the range and offered at a level consistent with the experience and qualifications of the candidate. Direct deposit of paychecks is a condition of employment for all City of Gaithersburg employees. The City offers Maryland Sick & Safe leave for year- round, professional part-time staff.

The Arts Barn & Art Gallery are currently open to the public Tuesday through Saturday, 1 – 5 p.m. Times outside the public hours can be arranged by appointment. The Arts Barn has a 99-seat theater which is open for arts programming, rentals, and for special events.

Job Functions

What you will do with us:
  • Plan, develop, contract, present, oversee, implement and evaluate performing and visual arts programming that addresses new and diverse audiences and strategies for inclusion particularly in the areas of film, chorus, and family programming.
  • Liaise with Gaithersburg Chorus Artistic Director and accompanist, assist with rehearsal and performance logistical needs and market the Gaithersburg Chorus. Also, facilitate registration through the City’s Active online system.
  • Facilitate the Young Artist Awards program including developing program requirements and an application, researching and securing adjudicators, scheduling, organizing and marketing the competition.
  • Promote, publicize, monitor, and evaluate the success of activities, events, and programming and make suggestions for improvements.
  • Organize and implement program logistics and determine supply and equipment needs.
  • Coordinate, manage and monitor assigned sections of arts programming budget and marketing plan.
  • Prepare and distribute promotional materials and create content for print, website, social media, and eNewsletter.
  • Respond to inquiries and requests for information.
  • Keep detailed files and records. Prepare weekly, monthly and annual reports providing updates on assigned arts program attendance, income, and expenses.
  • Using City templates, prepare agreements for independent contractors and arts program presenters as appropriate.
  • Other projects as assigned, including supporting other programming and division initiatives as needed.
