The Part-Time Temporary Assistant is responsible for the general administrative support for the Theater for Young Audiences department’s in-house productions, developmental workshops, and national tour, with an emphasis on company management and contracting- and finance-related logistics. Program support will consist of arranging accommodations and travel for artists/creative teams, building and distributing travel/housing itineraries to artists, coordinating comp tickets and Digital Program materials for in-house productions, and assisting with various contractual, finance and finance-related duties.
Duties & Responsibilities
- In-house production-related logistics, including company management – book artist travel and accommodations for in-house productions, workshops, and rehearsals; build and distribute travel/housing itineraries to artists; rehearsal preparation (scripts, calendars, forms, guest artist passes); coordinate comp ticket requests on behalf of artists and communicate with the box office and theater manager; assist with COVID safety preparation; collect artist bios and headshots for Digital Programs and assist with aspects of the Digital Program and website event page processes
- Finance – Process expense reimbursements, production advances, advance settlements, and other purchase orders as needed. Collection of credit card receipts and timely payment of credit card bills.
- Administrative support – draft letters of intent for new and returning contractors and employees; collect tax paperwork from new contractors and employees; provide additional support as needed for in-house productions, workshops, and the national tour. Other administrative duties as needed.
