Summer Program Site Coordinators will be responsible for the operational success of all the disciplines offered in The MusicianShip’s Summer Program, ensuring seamless team management, team development, program delivery, and quality control. The Site Coordinator will monitor the consulting Instructors for the program—ensuring that they serve as effective educators and mentors while aiding in executing organizational goals. The Site Coordinator will be the head administrator for select Summer Program sites and responsible for the program’s grant compliance, when applicable.

Duties & Deliverables

Summer Site Coordinators perform a wide range of duties, including, but not limited to, the following:

Planning

  • Review and execute the Education and Community Programs Manager Program Plan by gathering the necessary resources and handling required administration.
  • Oversee the delivery of the overall program and its activities by the organization's mission and goals.
  • Organize and participate in recruitment events to increase program enrollment.
  • Attend regularly scheduled meetings with the Education & Community Program Manager and the Education and Artistic Development Specialist to provide updates on Summer Program operations.
  • Schedule regular meetings (either on-site or virtual) with Summer Program instructors to assess their programming needs.

Organizing

  • Evaluate program participants by capturing student responses through hard copy or digital forms, collecting and storing completed forms, and furnishing documents to the Education and Community Program Manager and the Education and Artistic Development Specialist.
  • Collect weekly student attendance records from instructors in person or through virtual distribution.
  • Ensure that program activities operate within the policies and procedures of the organization and their compliance with all relevant legislation and professional standards.
  • Prepare forms and records required for key stakeholder site visits by gathering, storing, and maintaining forms and records in a well-labeled, site-specific program binder.

Supervisory Role

  • Monitor instructor effectiveness, attendance, timeliness, and organization compliance by conducting planned and unplanned site visits to partner sites.
  • Ensure that instructors are meeting the expectations of partner sites by gathering regular feedback from on-site staff and relaying shortcomings and triumphs to the Education and Community Program Manager and the Education and Artistic Development Specialist.
  • Communicate with clients and other stakeholders to gain community support for the program by hosting and attending MusicianShip recruitment and performance events.
  • Engage volunteers for appropriate program activities using established volunteer management practices.

Program Funding and Reporting

  • Ensure the program operates within the approved budget by communicating program spending with the executive leadership and accounting teams.
  • Collect funds related to student wardrobe requirements, fundraising, donation, and ticket sales.
  • Monitor the program activities regularly and conduct an annual evaluation according to the program evaluation framework.
  • Report evaluation findings to the Education and Community Programs Manager and the Education and Artistic Development Specialist and recommend changes to enhance the program as appropriate
