Ford’s Theatre Society is hiring an Arts Education and Outreach Coordinator as part of its Education team. The position is full-time and based in Washington, DC.

The Arts Education and Outreach Coordinator’s primary functions are to provide administrative, logistical and implementation support for Ford’s Theatre Society’s arts education programs and resources, including oratory and student matinees. The Coordinator also monitors the general department mailbox, is the primary departmental database administrator and coordinates content for the Education department’s Twitter handle.

All Ford’s Theatre Society employees are required to actively participate in the Society’s ongoing efforts to become an anti-racist organization. These efforts include staff-wide conversations, new programming, development of new resources for staff and audiences, and an expectation that all staff will keep themselves informed of resources and trends in the field of anti-racism and DEAI and how they can be applied to their own work on a day-to-day basis.

Principal Responsibilities:

  • Coordinating broad outreach to teachers and school districts to market arts education programs and resources with a specific focus on increasing reach, particularly to underserved audiences, in partnership with the marketing and communications department; outreach may include creating outreach resources, both paper and digital, keeping web copy up to date, participating in District-wide, regional and national teacher outreach events and one-on-one email, social media and phone communications with educators; arts Education programs include student matinees, oratory festivals, teacher workshops, the National Oratory Fellows program and the Ford’s Theatre Approach to Teaching Oratory
  • Provide administrative support for virtual and in-person arts education program events, including the student matinee program, teacher preview workshops and oratory programs and residencies. Support includes:
  1. Maintaining accurate and up-to-date registrations for workshops, student matinees and other events using Tessitura database
  2. Working with Marketing, Visitor Services, Box Office, and Group Sales to ensure proper availability and ticketing for theatrical programming and site visits for arts education program attendees
  3. Arranging local transportation for arts education program attendees, and any other logistical arrangements identified by the Associate Director for Arts Education
  4. When needed, arranging catering for arts education events within specified budget
  5. Creating, distributing, analyzing and sharing post-program feedback; working with Associate Director of Arts Education to identify strengths, challenges and opportunities especially as related to equity and inclusion
  6. Supporting the implementation of virtual and in-person teacher and teaching artist professional development workshops throughout the program year
  7. Timely and accurately processing participant and teaching artist payments, invoicing and tracking payments and program products to ensure full collection and/or payment
  • Providing logistical and administrative support for the National Oratory Fellows program, including:
  1. Collect and update Oratory Fellow contact information and bios on website and for group distribution, using email and Basecamp
  2. Creating all virtual and in-person meeting schedules and ensuring they are communicated to Oratory Fellows, teaching artists and education staff in a timely fashion, using Basecamp and email
  3. Coordinating housing, any off-site meals, catering and program materials for Oratory Fellows in-person retreats
  4. Locating, booking, setting up and tearing down meeting space for in-person gatherings. Spaces must be located nearby (if off-site), offer appropriate capacity, and be within financial considerations specified by the Associate Director for Arts Education
  • Support external consultants, Artistic Programming staff and Associate Director for Arts Education with coordinating and editing content for student matinee program, educational website resources and teacher preview workshop agenda, always with an eye toward Ford’s Theatre values
  • Managing the Education department Twitter handle including planning a social media strategy that engages educators with Ford’s Theatre programming, resources, mission and values with attention to promoting equity and inclusion, scheduling tweets and re-tweets, strategically following educators and partner organizations, and participating in the FTS social media committee meetings
  • Documenting or arranging for documentation of programs, which may include contemporaneous written accounts, photography, videography, or other methods as approved or assigned
  • Assisting Museum Programs Manager with conceptualizing, writing, editing and proofing quarterly education e-newsletter content that represent the Ford’s mission and values while promoting educational and interpretive resources and programming
  • Reviewing arts education program pages on the Ford’s website, recommending to and getting approval for needed updates from Associate Director for Arts Education, and submitting and confirming page updates to Digital Content Manager using specified communications systems, as approved and needed
  • Keeping the arts and museum education program school and participant records up to date in Tessitura database, in coordination with the Museum Programs Manager
  • Serving as primary contact for educators, students and other correspondents (education@fords.org), including:
  1. Responding to or routing email and phone inquiries
  2. Following up on internal response to inquiries
  3. Respond to audience feedback
  • Reconciling departmental credit card bill, collecting credit card receipts, and submitting to accounting in a timely and accurate manner, with the approval of the Director of Education and Interpretation
  • Assisting Associate Director of Arts Education with departmental expense tracking
  • Attending or assisting at Ford’s Theatre Society events as requested or required
  • Other duties as assigned
