JOB SUMMARY

The Portfolio Development Manager is responsible for driving the BSO’s portfolio growth and moves management process, with a focus on transformational, estate and endowment giving from portfolio accounts. This role provides department-wide support for individual and institutional giving officers who seek transformational giving above and beyond a patron’s past annual support. New prospects will be introduced to Giving Officers’ portfolios with the successful completion of these duties, from identifying to discussing and eventually strategizing about accounts through the Prospect Management Group and Portfolio Review processes.

 

Success in this role requires clear and open-minded communication with primarily internal constituents, excellent project management skills, as well as the ability to keep and build a routine that will advance the portfolio program. Significant technical expertise is required in using the BSO’s CRM, Tessitura, to manage donor data, organize prospecting efforts, and pull lists and data.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Prospect Identification

Draw from many resources including BSO prospecting tools, local news sources, and volunteer intelligence to organize the BSO’s portfolio of 500+ accounts for giving and influence:

  • Identify new prospects for annual, extraordinary, and planned giving, as well as Board leadership, by initiating and verifying wealth screenings, mining the Tessitura database, and following up on other leads created by prospecting software.
  • Follow Baltimore’s philanthropy and civic leadership by coordinating list reviews and discussions with volunteers, reviewing news sources, and following up on other information that becomes available.
  • Produce confidential research profiles, briefing documents and dossiers as requested using iWave and other research tools to introduce new prospects, or prepare a giving officer for a call.
  • Ownership of all prospect research tools and accounts.

 

Portfolio Data Management

Champion and facilitate the institutional practice of accurate, timely, and appropriate record-keeping in order to support the BSO’s giving plans management program.

  • Support Giving Officers in organizing their portfolio work, preparing for quarterly reviews, meeting visit and solicitation goals, and utilizing the Symphony’s portfolio management systems, providing guidance, training, and coaching where necessary.
  • Complete the annual process of building and maintaining individualized plans in the prospecting system in Tessitura, working with the Development Operations Specialist to facilitate accurate gift entry and stewardship.
  • Oversee the regular updating of contacts for institutional accounts, coordinating regular institutional and governmental updates with the Advancement Coordinator.
  • Providing support for the Prospect Management Group meetings, bringing new prospects for review, following up on delegated tasks and new portfolio assignments, and updating Tessitura based on meeting outcomes.
  • Manage the organization and preservation of donor records, virtually and printed, overseeing volunteers in the project of digitizing the BSO’s advancement files.
  • Create reports and analysis that track the depth and activity in the BSO’s prospect pipeline.
  • Liaise with Finance and Gift Officers to prepare stewardship reports for Endowed Funds.

 

Management and Leadership Responsibilities

Participate as a member of the Advancement teams in occasional special events, BSO concert duties, and regular team and cross-departmental meetings.

  • Attend events and concerts as a representative of the BSO staff both during and after office hours as assigned (two to three weekend nights a month).
  • Recruit help through the BSO’s volunteer program to receive administrative or event support in the BSO offices as desired.

 

QUALIFICATIONS AND CAPABILITIES

Required:

  • A minimum of three (3) years of experience in fundraising or a similar field of managing a customer relationship management database (Tessitura preferred).
  • Discretion and respect for sensitive and confidential information in research, reporting, and discussions.
  • Bachelor’s degree or equivalent work experience.
  • A demeanor of positivity, enthusiasm and respect for BSO colleagues and patrons.
  • Proficient in Microsoft programs, including but not limited to Excel, Powerpoint, Word, and Outlook.
  • Flexibility to adjust schedule as needed (with notice) for support at events, which frequently occur on evenings and weekends.

Preferred:

  • Excellent critical thinking, strategic planning and problem-solving skills.
  • Experience in an arts and culture membership organization.
  • A background and/or interest in symphonic music.
  • Master’s degree in Arts Administration, Arts Management, Non-Profit Management, or similar field, or a personal course of study one of these fields beyond an academic program.
