As the largest cultural institution in Maryland, the BSO is internationally recognized and locally admired for its innovation, performances and recordings, and educational community initiatives including OrchKids. Launched in 2008, OrchKids provides children educational resources and fosters social change through the power of music in some of Baltimore’s under-resourced communities.

JOB SUMMARY
The primary functions of the Manager of Artistic Services are to manage all logistics as they pertain to visiting artists, conductors, cover conductors, composers, and to provide administrative support to the Artistic Planning department. This is a unique opportunity to play a vital role in the artistic planning process of a Group I orchestra. As Manager of Artistic Services, the position works to ensure smooth operations, clear communication, and timely management of administrative responsibilities leading to the effective realization of the organization’s artistic vision. The Manager of Artistic Services also ensures effective communication and coordination of BSO guest artist-related ancillary and pre/post-concert events, in coordination with other BSO departments and external partners. The ideal candidate will be extremely organized, highly motivated, demonstrate initiative and discretion, and be willing to work flexible hours, including evenings and weekends.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Artist Liaison

  • Manage schedules for all guest artists and conductors appearing with the Baltimore Symphony by arranging all transportation, hotel, travel, and hospitality as contracted
  • Ensure the timely processing of all foreign guest artists/conductors visas
  • Create and distribute detailed itineraries for guest artists/conductors
  • Manage and process all hotel invoices and travel reimbursement payments (including creating check requests, processing expense reimbursements, etc.)
  • Maintain detailed and up to date files on guest conductors and soloists
  • Manage Artistic ground transportation and create weekly driving schedules
  • Establish relationships and negotiate vendor rates for area vendors including hotels, caterers, rental car agencies, car services, etc.
  • Work with Associate Director of Artistic Planning to establish budget for guest artists, track and regularly report variances
  • Create and maintain guest artist welcome packets (including itineraries, maps, restaurant recommendations) for distribution to all guest artists and conductors
  • Manage all Artistic badge access, as well as green room and backstage guests, in accordance with venue security protocols, as well as complimentary ticket requests from guest artists and conductors
  • Maintain Artistic supply closet, Artistic travel trunk, and Artistic files
  • Serve in Artistic concert and rehearsal duty rotation and be available to provide personal support for all Music Director Laureate and Artistic Advisor activities, including rehearsals, concerts, and other times as required
  • Other duties as assigned

Ancillary and Pre-Post Concert Programmatic Events

  • Coordinate pre/post-concert activities and lobby enhancements (concessions, lobby entertainment, décor, etc.) with guidance from the Director of Audience Engagement
  • Serve as main Artistic presence for all rehearsals and performances
  • Serve as primary liaison between the GM and other departments (Advancement, Marketing, etc.)
  • Coordinate delivery of artist headshots, bios, etc. to BSO Communications and Marketing teams
  • Coordinate travel, accommodations, local ground transportation, and hospitality for all activities
